Get Transaction Details in QBO
Agile BK attaches backup to most transactions* recorded in Quickbooks Online (QBO) including copies of receipts/invoices, working papers, or screenshots of specific instructions from clients. If you are familiar with navigating QBO, you can skip these instructions and navigate to the transactions in question. For guidance in navigating QBO to find specific transactions, please see below.
*Backup is only available when it is provided by the client or when there is a working paper developed by Agile BK. When backup is provided, Agile BK is very diligent in ensuring that it is attached to the transaction details in QBO.
Note: This guide is meant to provide a high-level overview on navigating QBO. For detailed instructions, please refer to QBO's guide on running reports in QBO:
Finding Specific Transactions
There are many ways to get to specific transactions in QBO. Here are two of the more straightforward methods:
- Search
- From Financial Statements
Search
In the top right of your window in QBO, click the magnifying glass and search for a Supplier, Amount, or even Invoice Number. QBO Search is quite powerful and can help you track down an individual transaction quite easily. Clicking on the search results will open up the details of the transaction along with any relevant backup that is attached.
From Financial Statements
Everything in QBO lets you click through to the next layer down. One easy method is to drill down starting from the Financial Statements. This tutorial will walk through the process on a Profit & Loss statement, but the method is similar for most reports in QBO.
- In QBO > Navigate to Reports
Select the desired Financial Statement report
After the report loads, scroll up to see the Report Customization options. For the Report Period, select "Last Fiscal Year" (Tip: You can narrow your search further if needed using the other customization options)
- Navigate to the relevant expense line on the report and click on it to open up the GL Detail for that account.
- Click into an individual transaction to see the details of the transaction along with any relevant backup that is attached.
