What tools do we use and how do they work?

We use software tools to streamline all connections with your books.  Below you will find a high level overview of the systems we use and how they fit together during different financial cycles.  We’ve broken down some of the key financial cycles to showcase how different systems are utilized for each cycle.

Expenses and Payable Cycle

Dext is an AI-powered receipt and invoice scanner and is how you get receipts and invoices to us.  It’s the starting point for getting all receipts and invoices to us.  A mobile app for your phone lets you take pictures from your device, or you can forward emailed invoices to a custom Dext email address that we will provide.

Plooto is a platform that simplifies the process of paying vendors (and collecting payments from customers).  Payments are processed through Electronic Funds Transfer (EFT).  Plooto is integrated with Quickbooks, making it easy to pay outstanding invoices.

Sales and Receivables Cycle

POS/eCommerce: We will integrate your system directly to QBO if possible so that sales flow through automatically.  If no suitable integration is available we will develop an automated process to pull sales into QBO.  If you invoice manually, we will help you configure the QBO invoicing module.

Payroll Cycle

If you have engaged us to run Payroll on your behalf, we will help you get set up and run your payroll through Quickbooks Payroll.  We will remit payroll source deductions to CRA through Quickbooks Payroll.


If you are managing your own payroll you are welcome to use whatever system you see fit.  All we need from you are the detailed payroll journal entries for each cycle.  If an integration with QBO is available we will help you configure this.

Sales Tax Cycle

If you have engaged us to process sales tax filings on your behalf (GST/HST, PST, etc.), we will ensure that your filing is processed on time to the CRA or provincial Ministry of Finance.
